Data Deletion Policy

True Tone Mirror LLC (“Company,” “we,” “us,” or “our”) operates the ClosureCast mobile application (“App”). This Data Deletion Policy explains how users may request deletion of their personal data and how such data is handled following account deletion.

1. Your Right to Delete

You may request deletion of your ClosureCast account and associated personal data at any time within the App by navigating to:

Profile → Delete Account

Account deletion permanently removes access to your account and initiates deletion of applicable personal data as described below.

2. Data Deleted Upon Account Deletion

When an account deletion request is completed, the following personal data is permanently deleted from our active systems:

  • Profile information (such as name, email address, ZIP code, theme preference, subscription tier flag)
  • Active rows in your saved cities, saved ZIP code watchlists, saved road watchlists, and city coverage requests
  • Push notification token
  • Notification delivery log
  • Active subscription row
  • Authentication credentials and session data

Note: while the active versions of your saved cities, saved ZIP codes, saved roads, and city requests are removed, anonymized copies of these records are retained for legal-defense and audit purposes. See Section 3 below.

Deleted data cannot be recovered once processing is complete.

3. Data Retained for Legal and Financial Compliance

Certain limited records may be retained after account deletion where required for legal, tax, accounting, fraud prevention, or dispute resolution purposes.

Retained information includes:

a. Financial Transaction Records

Payment transaction records required for tax and accounting compliance may be retained for up to seven (7) years. These records are maintained by authorized payment processors and contain only the minimum information legally required.

b. Anonymized Audit Records

The Company retains a non-identifiable audit record containing:

  • One-way cryptographic hashes derived from account identifiers (such as email or name)
  • Account creation and deletion dates
  • Account activity duration
  • Accepted policy versions (Terms & Conditions, Privacy Policy, Data Deletion Policy)
  • Subscription tier and status at time of deletion
  • Aggregate payment totals (count and amount)

These cryptographic hashes cannot reasonably be reversed to identify an individual user and are retained solely for compliance verification, fraud prevention, and legal dispute resolution.

No readable personal information remains associated with these audit records.

c. Policy Acceptance Records

Records of your acceptance of the Terms & Conditions, Privacy Policy, and Data Deletion Policy are retained as legally required electronic signature proof. These records include the email address provided at the time of acceptance, the policy version accepted, and the date of acceptance. Your user account identifier is disassociated from these records upon deletion, but the email address is preserved to maintain a verifiable record of consent as required by applicable law.

d. Anonymized City History

A record of which cities were associated with your account is retained in anonymized form using a one-way cryptographic hash of your account identifier. These records include the city name, whether it was active, your per-city notification preferences at the time of deletion, and the original date saved. They do not contain any directly identifying personal information.

e. Anonymized ZIP Code Watchlist History

A record of the ZIP codes you had saved to your watchlist is retained in anonymized form using the same hashed account identifier described above. These records include the ZIP code, any optional label you applied, your per-ZIP alert toggle state, and the original date saved. They do not contain any directly identifying personal information.

f. Anonymized Road Watchlist History

A record of the road names you had saved to your watchlist is retained in anonymized form using the same hashed account identifier. These records include the road name, any optional label, alert toggle state, and the original date saved. They do not contain any directly identifying personal information.

g. Anonymized City Coverage Request History

A record of any city or state coverage requests you submitted is retained in anonymized form using the same hashed account identifier. These records include the requested city, state, and original date. They do not contain any directly identifying personal information.

Records (d) through (g) are retained for legal-defense, fraud-prevention, aggregate analytics, and service-improvement purposes. They cannot reasonably be reversed to identify a specific person; the only way to look up any of these records is by re-hashing the original account identifier, which is removed from our systems at deletion.

4. Active Subscriptions

Deleting your ClosureCast account does not automatically cancel subscriptions purchased through third-party app stores.

To avoid future billing, users must cancel subscriptions directly through their:

  • Google Play Store account settings, or
  • Apple App Store subscription settings.

5. Processing Time

Account deletion requests initiated within the App are processed without undue delay. Confirmation of deletion will be provided within the App interface or sent to the email address associated with the account.
